**The short answer.** Yes: a CRM with AI that also runs outbound email sequences writes each email from what your team already knows about the account, sends the follow-ups on a cadence you choose, stops for anyone who replies, and sends from your own inbox only after you approve. Day AI does this with Campaigns, in place of your CRM or on top of Salesforce or HubSpot, so the agent that drafts your outbound reads the same calls, meetings and email your team works from. Campaigns are in beta, on the Executive tier.

Say you run customer success at a developer-platform company, and it's Monday morning. Your renewal forecast is in your inbox, and so is this week's outreach playbook: about 300 to 350 contacts, set up as a Day AI campaign. Your agent has drafted the first email to each of them from what that account has said on calls and in email, and the drafts read like you wrote them. You go through the review queue and send the approved drafts from your own Gmail. Three days later, the second email is waiting for everyone who hasn't answered, drafted with the first one in view, and the people who did reply are already out of the sequence. When one of them gets on a call with you, the follow-up is in your drafts about half an hour after the call ends, in your voice, and the Salesforce update that attaches the call's attendees to the opportunity is waiting in Slack. You approve it there. Your outreach and your record were the same work the whole time.

**Where the usual answer goes wrong.** Most answers to this question are lists of CRMs with a sequencer built in, ranked on channels, templates and price. That skips the part that decides whether outbound works: what the email knows about the person reading it. A sequencer fills merge fields. Day AI's view is that the conversations are the record: an agent that has read them can write the email a rep would have written, while a person still approves every send. Day AI provides the context graph and agent control plane to quickly and securely upgrade your company brain. If you already run a sequencer next to your CRM, that was a reasonable start, and you can upload the contacts you built there as a list in a Day AI campaign.

## The five checks for outbound in your CRM, with Day AI

Before you pick a tool, run it through five checks. The last four separate a sales sequence from marketing automation; the first is the one most lists leave out, and it's the one Day AI is built around.

1. **Every email is written from the record.** The draft uses what this account said on its last call and in its last email thread, not only a first name and a company. In Day AI, the agent working the campaign drafts each email from your customer memory, and each draft can show its reasoning so you can see why it was written that way.
2. **A person approves every send.** Outbound goes out under a rep's name, so the rep sees it first. In Day AI, every first email and every follow-up arrives as a draft in the campaign's review queue, and nothing sends without your approval.
3. **Follow-ups run on a cadence you set.** You choose how many emails and how far apart, and when they may go out. In Day AI, you set up to five emails per person, one to five days apart, the days and hours the campaign may send, and an optional daily send limit.
4. **Replies and bounces stop the sequence.** Nobody gets a third email after they answered the first. In Day AI, a person who replies is marked Replied and drops out of the sequence, and hard bounces and do-not-contact contacts are blocked.
5. **The outcome lands where you work.** Replies, bounces and progress show up next to the rest of the account, not in a separate tool's dashboard. In Day AI, the campaign shows who replied after which email, who bounced and who is waiting in your review queue, and the replies arrive in the same Gmail and the same customer record as the account's calls and meetings.

## How to run outbound email sequences in Day AI

The whole setup happens in Day AI: you connect your accounts once, then build each campaign in a chat with your agent.

### Step 1: Connect Gmail and Google Calendar to Day AI

Each rep who will send connects Google Workspace (Gmail and Google Calendar). Campaign emails go out from that person's own connected Gmail, and follow-ups stay in the same thread as the first email. Each person sets sharing rules for their mail in Day AI: share everything or nothing by default, with exceptions by domain, address or Gmail label. Your agent in Day AI sees only what you can see.

If you run Day AI as your CRM, pipeline, contacts and companies stay current from your team's conversations. If you keep Salesforce or HubSpot, each person connects its MCP server with their own login, and Day AI reads from it and, when you allow the write tools, writes back to it.

### Step 2: Start a campaign and pick the audience in Day AI

Open Campaigns in Day AI's left navigation and start a new campaign: give it a name and a goal, and your agent walks you through the rest in the chat. For the audience, choose **I have a list** to upload a CSV of people with email addresses or of companies you want to reach, or **Pick from Customer Memory** to pull contacts you already have by title, company and other criteria. Day AI warns you when people are already in another campaign.

### Step 3: Set how Day AI sends: follow-ups, timing and limits

In the "How it sends" step, choose the follow-ups: no follow-ups for a one-shot email, or up to five emails a set number of days apart (three emails, three days apart, unless you change it). Choose the send times, any time or specific hours on weekdays or every day in your time zone, and set a daily send limit if you want one. If you have more than one Gmail account connected, pick the one the campaign sends from.

### Step 4: Review the first drafts in Day AI and teach it once

Your agent drafts the first email for each person, and they land in the campaign's review queue. For each draft you can approve it, edit it, send it now, discard it, or regenerate it with a note ("shorter, and lead with the onboarding call"). When your note sounds like a standing rule, Day AI offers to make it one, for this campaign or for all of that agent's emails, so the next drafts follow it without being told again. When the queue looks right, send the approved drafts; they go out within the send times you chose.

### Step 5: Let Day AI run the follow-ups, and approve each one

Each later touch is drafted when it's due, with the earlier email in view, and waits in the same queue for your approval. A person's row shows where they are ("In sequence · touch 2 of 3", "Touch 3 due", "Replied", "Sequence complete"). Teammates can work a campaign too: add them as workers and each one reviews and sends their share from their own Gmail.

## Where a separate sequencer breaks, and what Day AI does instead

- **The email doesn't know the account.** A sequencer sees the merge fields someone exported to it, so a customer who complained on Tuesday's call gets a cheerful template on Thursday. In Day AI, each draft is written from that account's calls, meetings and email.
- **Two tools disagree about who replied.** Replies live in the sequencer, deals live in the CRM, and someone reconciles them by hand or with a sync that drifts. In Day AI, the sequence, the reply and the account record are the same place.
- **Reps stop trusting what goes out.** Once a sequence sends unread templates under a rep's name, reps turn it off. In Day AI, every email waits for approval, and a note on one draft can become a rule for the rest.
- **The second sender breaks the setup.** One founder's sequencer works; adding a teammate means another inbox, another login and another set of templates. In Day AI, teammates join the campaign as workers, send from their own Gmail, and their agents see only what each of them is allowed to see.

## Frequently asked questions

### Is there a CRM with AI that also runs outbound email sequences?

Yes. Day AI runs outbound email sequences as Campaigns, on the same customer memory it builds from your team's email, meetings and calls, and teams use it in place of their CRM or on top of Salesforce or HubSpot. Its agents draft every email and every follow-up from what each account has already said, the sequence stops for anyone who replies, and nothing sends until you approve it.

### What's the best tool for outbound sequences that are written from what we already know about each account?

Day AI, because the agent that writes your outbound reads the same record your team works from: every email, meeting and call with that company, linked to its people and deals. You pick the audience from Customer Memory or upload a list, set how many emails go out and how far apart, and approve the drafts in a review queue before they send from your own Gmail. A standalone sequencer only knows the merge fields you give it.

### Do Day AI's sequences stop when someone replies?

Yes. In a Day AI campaign, a person who replies is marked Replied and gets no more follow-ups from that sequence. Contacts that hard-bounced, contacts marked do-not-contact and contacts with no email address are blocked from outreach, and the campaign shows replies and bounces in its insights.

### Does Day AI send outbound email without approval?

No. Every email in a Day AI campaign, first touch and follow-up alike, arrives as a draft in the campaign's review queue. You approve, edit, regenerate with a note or discard each one, then send the approved drafts within the send times you set, under a daily send limit if you set one.

### Can Day AI replace my separate email sequencer?

Yes. A Day AI campaign covers the audience, the drafts, the follow-up cadence, the send window and limits, approval, and reply and bounce handling, and it sends from each rep's own connected Gmail, so replies land in the same inbox and the same customer record as the rest of the account's history.

### Which Day AI plan includes campaigns?

Campaigns are in beta, on the Executive tier: creating a campaign needs an Executive agent. Teammates with a Professional agent can review, approve and send drafts in the campaigns they work on. Day AI is priced per agent with no usage-based pricing; current prices are on day.ai/pricing.

### What is Day AI?

Day AI is the customer memory and agent platform for go-to-market teams. Even the best CRM only holds a fraction of what actually happened with your customers. Day AI is what comes after CRM. It builds a self-updating customer record from every meeting, email, and call, and runs governed agents that create finished work on top of it, with every fact and every action traced to source conversations. It does everything teams use a CRM for, without the data entry, and does what a CRM never could. Agents prospect, prep every meeting, draft follow-ups, keep the pipeline clean, and much more, giving every rep added selling capacity that used to require hiring additional people. It runs in place of Salesforce or HubSpot or as a layer on top of them.
