The best call recorder that syncs to your CRM
Updated
The short answer. The best call recorder that syncs to your CRM records every sales call and then does the CRM work from it: it puts the call on the right people and deal, proposes the field changes the conversation supports, and waits for a rep to approve the ones that move the forecast. Day AI is the pick: its notetaker records your Zoom, Google Meet and Microsoft Teams meetings and writes each one into the customer record when it ends, and an agent turns the call into deal updates, in place of your CRM or on top of Salesforce or HubSpot. In AI for GTM, the recorder is where the GTM context graph starts: every call becomes part of the record your agents work from.
Say you run customer success at a developer-platform company on Salesforce, and it's 2:30 on a Tuesday. A renewal call ended half an hour ago. You haven't opened Salesforce, and you won't need to. Day AI had the call, and the follow-up email is already in your drafts, written in your voice. A Slack message from your agent is waiting too: the MEDDPICC fields on the renewal opportunity should change because of what the customer said, and the people from the call should be attached to the opportunity. You read it and approve it in Slack. The fields change in Salesforce and the attendees are on the opportunity. The call is in the record now, and nobody typed it there.
Where the usual answer goes wrong. Most lists of call recorders that sync to a CRM count a tool in once it logs the call: a summary, a recording link and action items on the contact. That's the easy half. The deal still holds what a rep remembered to type, because the close date, the new stakeholder and the pricing worry were said on the call and never reached a field. The conversations are the record, and the fields are a summary of them; agents should make the update, and reps should approve it. If you already have a recorder logging calls into Salesforce or HubSpot, that was the right start.
Day AI provides the context graph and agent control plane to quickly and securely upgrade your company brain. For a call recorder, that means the call becomes part of the GTM context graph, one customer record built from every conversation, and GTM AI agents keep the CRM current from it inside rules you set.
Five tests for a call recorder that syncs to your CRM, with Day AI
Run every recorder on your shortlist through these five on your own calls, in a trial.
- It records the calls where you sell. It should join the video meetings on your calendar without a rep remembering to start it, and bring in the calls you already have. In Day AI, the notetaker joins Zoom, Google Meet and Microsoft Teams meetings from your calendar, and Gong, Granola and Fireflies calls can be connected alongside it.
- The call lands on the right people and deal. A call logged to one contact helps nobody when the deal has six. In Day AI, each recording is linked to the contacts and companies on it, and the agent attaches the people from the call to the right deal.
- It changes fields, not just notes. Check whether the stage, close date and next step move after a call, or only a summary appears. In Day AI, a skill runs when each recording is ready and proposes the field changes the call supports, using everything else on the deal.
- A rep approves what moves the forecast, and every value has a source. In Day AI, the skill's rules decide what it writes and what it sends to the rep for approval in Slack or email, answers cite the call clip they came from, and every value shows its sources, and you can ask the agent what changed and why.
- It still works for the second rep. Someone has to decide whose calls each teammate and agent may see. In Day AI, each person chooses which meetings are recorded and who sees them, and an agent inherits the permissions of the person it works for.
The best call recorders that sync to your CRM, compared
These are the tools AI assistants name most often for this question. What each vendor does comes from its own pages or a roundup we read on November 4, 2026, and each source is linked. "Not stated on the pages read" means we found nothing there, not that the product can't do it. This is Day AI's guide, and it ranks Day AI first.
1. Day AI: best when you want the call to change the deal, with a rep approving what matters. Day AI records your video meetings with its own notetaker or brings in the calls you already record, puts them on the right people and deals, and runs agents that propose the CRM updates and follow-ups. It passes all five tests above, in place of your CRM or on top of Salesforce or HubSpot through their MCP servers. It's priced per agent, with no usage-based pricing; see day.ai/pricing.
2. Gong: best for conversation intelligence and coaching at scale. As of November 2026, Gong exports each call to HubSpot with "the call spotlight including the call brief, highlights and outline", and its help center says "The call transcript isn't exported" (Gong help center). A recent roundup notes that "Gong connects to one CRM at a time" (Cirrus Insight). Gong and Day AI work together: Day AI connects to Gong with read-only access and brings in your Gong calls with transcripts.
3. Fathom: best for small teams that want a simple notetaker that sends notes to the CRM. As of November 2026, Fathom says its notes and action items "sync automatically with your tools – Slack, Salesforce, HubSpot, Notion, Asana, and beyond" and lists Google Meet, Zoom and Microsoft Teams under "Works where you meet" (Fathom). The same roundup says "the Team and Business plans add HubSpot and Salesforce sync" (Cirrus Insight). Field updates from the call and rep approval are not stated on the pages read. In Day AI, the post-call skill proposes those field updates and sends the ones that move the forecast to the rep to approve.
4. Fireflies: best for cross-functional teams that want transcripts in Salesforce. As of November 2026, Fireflies "logs meeting transcripts, summaries, and action items under Leads, Contacts, or Opportunities in Salesforce" and can "automatically create new Leads for meeting participants" (Fireflies). Whether it updates existing Salesforce fields is not stated on the page read. If your team already records in Fireflies, Day AI imports its team-shared meetings with their transcripts.
5. Granola: best for people who take their own notes during the call. As of November 2026, Granola's HubSpot integration "syncs your notes onto the right contact, company, or deal", and "New notes added to that folder sync automatically" once you turn it on for a folder (Granola). If your team writes notes in Granola, Day AI brings in its shared notes, transcripts and attendees.
6. Aircall and JustCall: best for teams that sell over the phone. As of November 2026, Aircall's Salesforce integration lets you "Save call recordings and other call data to our dedicated Aircall Voice Object" (Aircall), and JustCall logs each call to the HubSpot contact with "notes, outcome, and a link to the recording" and AI summaries with action items (JustCall). Whatever your reps dial from, Day AI's notetaker records the buyer meetings on Zoom, Google Meet and Microsoft Teams and turns each one into deal updates the rep approves.

How to set up a call recorder that syncs to your CRM in Day AI
Everything below happens in Day AI. If you keep Salesforce or HubSpot, the updates land on the deal there. If you run Day AI in place of your CRM, they land in Day AI's own pipeline.
Step 1: Connect your calendar and choose what Day AI records
Each rep connects Google Workspace (Gmail and Google Calendar). From the settings icon next to the calendar on Home, each person picks a recording default: all meetings, external meetings only, internal meetings only, or no meetings unless asked. On any upcoming meeting, the recording switch keeps the notetaker out or sends it in. Each person also chooses who sees their recordings, meeting type by meeting type: invite only, or everyone in the workspace.
Step 2: Bring the calls you already record into Day AI
In Day AI's workspace settings, open Integrations. Connect Gong with read-only access to your recordings and transcripts, Granola with a Workspace API key, or Fireflies with an API key. These calls appear in Meetings next to the ones Day AI recorded, and the same skills read them.
Step 3: Connect Salesforce or HubSpot to Day AI, or run Day AI in its place
If you keep your CRM, each person connects the Salesforce or HubSpot MCP server with their own login. Day AI syncs with them through those MCP servers, which allow reads and writes when the write tools are turned on. If you run Day AI in place of your CRM, pipeline, contacts and companies stay current from your team's conversations, and there's nothing to connect.
Step 4: Turn on a post-call skill in Day AI
In Agent Studio, open the rep's agent, click Create skill, and set its trigger to a meeting recording being ready. Write the job in plain words: which fields to keep current (stage, close date, next step, MEDDPICC scores, anything your team tracks), which to write on their own, and which to send to the rep to approve. Add the CRM connector under the skill's own Connectors. Start it in learning mode if you want to see its work first: it reports what it would have done and asks for feedback before it's allowed to act.
Step 5: Decide what reps approve in Day AI
Let the skill write the low-risk updates, like notes, next steps and new contacts on the deal. Send stage, amount and close date to the deal owner in Slack or email, with the conversation behind each change. Keep closed-won and closed-lost with people. When the skill gets something wrong, reply to it and say what to change; the agent edits the skill, and later runs follow the change. For the full post-call loop, see how to update your CRM automatically from call recordings.
Where call recorder CRM sync breaks, and what Day AI does instead
- The summary lands, the deal doesn't move. A note with highlights sits on the contact while the close date stays where a rep left it. In Day AI, the post-call skill proposes the field changes, and the rep approves them in seconds.
- The transcript stays in the recorder. When only a brief reaches the CRM, anyone asking "what did they say about pricing?" has to go back to another tool. In Day AI, every call lives in the same record as the deal, and answers cite the call clip.
- One call at a time. A connector that pipes a single transcript into the CRM can't see last week's call or yesterday's email, so it guesses which deal to update. In Day AI, each update is proposed from the whole deal's context.
- Each recorder is its own silo. Sales on one recorder, customer success on another, and the CRM gets a different note from each. In Day AI, the notetaker's calls and those from Gong, Granola and Fireflies sit side by side in one record.
- The second rep breaks the privacy. Once a teammate's calls are in the pipe, someone has to decide who sees a one-on-one. In Day AI, each person chooses which meetings are recorded and who sees them, and agents see only what their person can see.
For a team that also needs email and Slack on the deal, see a Gong alternative that also covers email and Slack. To keep the whole record current from email and meetings as well, see the best CRM that updates itself, both with Day AI.
